Adding Details for a New Hire and Completing the Hire
You can add any missing information as well as ensure that rehire and transfer information is updating the correct target employee that already exists in the User Center.
Notes:
If you are not using an HRIS, then fields that are not transferred to the User Center are read-only and are provided for reference as they exist in Jobvite Hire.
Changes made in the User Center after a new hire has been processed are not reflected on the New Hires page.
1 From the Main menu on the Home page, click New Hires.
2 Click the name of the new hire, rehire or transfer.
3 Enter all the details.
For Middle Name, only the first letter is sent to Middle Initial field in the User Center.
The address field is processed as a group. This means that if there is a different value than what is already in the User Center, all address fields are overwritten with the information from the New Hires page.
The employee’s start date is copied into the employee’s hire date field in the User Center.
If you are adding a Job Code, Department or Location (which are pick lists in the User Center), then the data from the New Hires page must be an exact match (although uppercase or lowercase is ignored).
The Employee ID for rehires or transfers that is stored in the User Center is not overwritten with the information from the New Hires page, but it is copied to the New Hires page.
4 In the Username field, enter a username that is unique.
Tip: You may want to look up the username that is already in use. Go to the User Center, search for the rehire or transfer, and copy the username that’s already stored in the User Center.
5 From the Hire type list, select either New Hire, Rehire or Transfer.
Tip: After you enter a Username and you select either Rehire or Transfer, as the Hire Type, you can look at the data in the User Center and compare it to the data on the New Hires page to ensure that you are updating the correct employee.

6 Do one of the following:
To save the details and continue at a later time, click Save.
To mark the new hire as ready and have the person added to the User Center, click Complete Hiring.
When you click the Complete Hiring button, it means that this new hire is either ready to be processed by the HRIS or added to the User Center directly. The synchronization timing will depend on the what has been configured for the integration before the employee shows up in the User Center. If you need to make any changes, you can modify the data in the User Center.
